1 REGISTRATION
1.1 The Kings Trust CEO challenge 2026 (“Event”) consists of a three - day outdoor survival multi activity event in Braemar with overnight camping. The event is scheduled to take place week commencing 14th September 2026 and is organised by Threshold Sports Ltd (“Threshold”)( The Organiser) on behalf of The Kings Trust (“The Charity) ”), together referred to as “The Organisers”.
1.2 Entry to the Event is strictly limited to invitees of the Charity, aged 18 years or above on Friday 11th September 2025
1.3 Applicants must complete and submit the online registration form before the deadline (“Online Registration Form”) which can be found here.
1.4 All successful applicants (hereinafter referred to as “Participants”) will be notified by way of an email confirmation that they have been allocated a place to take part in the Event (“Online Confirmation”).
1.5 The relevant date for registrations shall be the date the Participant receives the Online Confirmation. The Organisers are not responsible for technical, hardware or software failures of any kind, lost or unavailable network connections, or failed, incomplete, garbled or delayed computer/internet transmissions or other errors or malfunctions of any kind which may prevent receipt by the Organisers of an Online Registration Form or receipt by an applicant of an Online Confirmation. For the avoidance of doubt, if, for any reason whatsoever, an applicant does not receive an Online Confirmation, said applicant shall not
1.6 Online Registration Forms must be received by the Charity on or before 23:59 on 14th June 2026 (“Event Entry Deadline”). Any Online Registration submitted after the Event Entry Deadline will not be accepted. The Charity reserve the right to close the Online Registration Form at any point.
1.7 If at any time it is discovered that any Participant should have been ineligible to register in the Event or if registration in the Event should have been refused for any reason whatsoever, the Charity reserves the right to disqualify such Participant from/refuse such Participant entry to the Event. Further, the Organisers reserve the right to reject at any time any Online Registration Form which it believes to be fraudulent, or to disqualify at any time any Participant it believes not to have fully complied with these Rules and Regulations from participating in the Event, or in any future event. The Organisers shall not be liable in any way to such Participant as a result of any such disqualification or refusal. It is the Participant’s responsibility to ensure full compliance with these Rules and Regulations.
1.8 If a Participant has a medical condition or disability which may affect their participation in the Event, they must inform the Organiser as soon as reasonably practicable so that the Organiser can advise as to the suitability of the chosen arrangements. If the Organiser or suppliers are unable to accommodate the particular needs of the person concerned and reasonably believe that their health and/or safety would be put at risk by participation in the Event, the Organiser reserve the right to decline participation in that Event.
1.9 If during the Event, the Organiser believe that you are unfit to take part or have not complied with these terms, the Organiser may remove you from taking part in the Event and will not be liable to you for this.
1.10 Irrespective of any safeguards that may be put in place by the Organiser, participation in the Event is at the Participant’s own risk, including risk to the Participant themselves (and any damage caused by/to third parties or third party property).
1.11 For the avoidance of doubt, nothing in these terms and conditions creates joint or collective or vicarious liability between the Organiser and the Charity shall be responsible only for its own acts or omissions.
1.12 If any provision in these Rules and Regulations, whether in full or in part, is held to be invalid or unenforceable, all other remaining provisions (in full or in part) shall continue to be valid and enforceable.
1.13 Nothing in these conditions shall constitute or be deemed to constitute a partnership between the parties. These Rules and Regulations shall be interpreted in accordance with the laws of, England and Wales and any dispute arising hereunder shall be subject to the exclusive jurisdiction of the English courts.
2 ENTRY FEES AND FUNDRAISING DECLARATION
2.1 By registering for the Event, you agree to pay the participation fee of £3,000. Payment instructions will be provided by the Charity following registration. If you need to cancel your place, you must notify the Charity in writing on or before 1st June 2026. Cancellations received on or before this date maybe be eligible for a refund of up to 50% (£1500) of the participation fee, reflecting reasonable administrative expenses and non-recoverable event delivery costs already incurred. No refunds can be provided for cancellations received after 01 June 2026. Participants who are unable to attend have the option to have their participation fee treated as a donation to the Charity
In the event that the Organiser cancels or significantly changes the event, participants will be offered an appropriate refund or alternative arrangement.
2.2 By taking part in the Event, you pledge to raise a minimum of £20,000 for The King’s Trust. The money raised is to be donated exclusively to The King's Trust and no other charity.
2.3 When asking for donations, you must make clear to any donor that the donation will be used to help change young people's lives through The King's Trust’s programmes. As a result, any donation will not be refundable, even if you do not take part in or complete the Event.
2.4 You agree to act lawfully and in accordance with the Code of Fundraising Practice available at fundraisingregulator.org.uk/code and any fundraising guidance provided by the Kings Trust or Threshold.
3 CANCELLATION AND POSTPONEMENT
3.1 Any Participant intending to cancel their place in the Event shall inform the Charity by emailing ceo.challenge@kingstrust.org.uk as soon as reasonably practicable.
3.2 The Organiser endeavour to plan for all reasonable eventualities during the course of the Event but will not be held liable for factors outside our control such as but not limited to war, civil or political unrest, threat of terrorism, inclement weather conditions, public health crisis, state occasion, Government guidance in relation to social contact and venue disputes.
3.3 The Organisers reserves the right to change the time, date, and/or format of the Event, or to cancel the Event, in whole or in part, without liability to the Participant. In such circumstances, The Organisers:
3.3.1 will make a reasonable efforts to provide notice of any changes or cancellation via the Participants email address provided on registration. If email notice is not practicable due to the timescales involved, The Organiser will use reasonable methods of notice including text messages;
3.3.2 will have no responsibility for any costs incurred, including any travel or accommodation costs; and
3.3.3 undertakes to act with full transparency and fully satisfy its legal obligations to you;
3.3.4 will endeavour to stage the Event at a later date either at the same or a similar location and the Participant will have the right to take part in the re-staged Event, but no other remedy including refunds, compensation or reimbursement, shall be available unless required by law
4 PARTICIPANT’S WARRANTIES AND UNDERTAKINGS
4.1 The Participant acknowledges that participation in the Event is not possible without validly agreeing to abide by these Rules and Regulations and agrees to be bound by these Rules and Regulations.
As a continuing condition of entry each Participant shall ensure that, for the duration of the Event:
4.1.1 the Participant understands that the Event involves sustained physical exercise in a remote area;
4.1.2 the Participant agrees that they are responsible for their own fitness to take part in the Event, and will consult a doctor prior to the Event if necessary;
4.1.3the Participant accepts that they are responsible for their own safety during the Event;
4.1.4 the Participant will complete the route between the official opening and closing hours communicated. However, the Organisers reserves the right to alter the route start and finish times in the event of mitigating circumstances e.g. inclement weather conditions;
4.1.5 the Participant acknowledges that it is their responsibility to ensure that they have been correctly checked-in at each pit stop along the route;
4.1.6 the Participant acknowledges the recommended kit list of the Event, in accordance with their Event option , as communicated by email prior to the Event by the Organisers;
4.1.7the Participant carries a charged mobile phone with appropriate credit;
4.1.8 the Participant acknowledges that it is compulsory to carry their own personal water bottle or water vessel whilst participating the Event so they remain hydrated.
4.1.9 the Participant understands that if they wish to withdraw from the Event, they must report to the nearest pit stop or contact Event Control;
4.1.10 due to the outdoor nature and endurance aspect of the Event, the Participant maintains personal hygiene at all times, and adheres to all hygiene advice provided by the Organisers;
4.1.11 the Participant displays the official event numbers provided at registration in the manner indicated during the Event;
4.1.12 the Participant complies with the Countryside Code at all times.
4.1.13 the Participant is responsible for the collection and appropriate disposal of his/her litter along the entirety of the route, at the pit stops, and at the overnight basecamps;
4.1.14 the Participant understands that there is no permittance of a formal support crew for any Participant along the route, as this could endanger the safety of Participants or other Event staff;
4.1.15 the Participant obeys traffic officers and authorised marshals at all times;
4.1.16 ”the Participant acknowledges that neither the Charity or Organiser are not responsible and any liability for personal and equipment is their own responsibility. It is recommended that each participant consider taking out personal liability insurance for the event;
4.2 The Participant understands the endurance demands of the Event and commits to training for the Event to ensure they are adequately prepared, physically and medically fit, to partake in the Event.
4.3 The Participant confirms without reservation that they are in a good physical condition to participate in the Event and will not complete the Event in ill health or if they are unfit to take part.
4.4 The Participant acknowledges that participation in the Event involves inherent risks of accidents and injury.
4.5 The Participant agrees to conduct themselves in a professional and cautious manner during their participation in any Event and understand that they may be disqualified from any Event if they do not do so.
4.6 No drugs, illegal substances, performance enhancing substances or intoxicants of any kind are permitted to be used by any Participant either before or during participation in the Event. The Organiser reserve the right to refuse attendance at, or participation in, the Event by any persons found to have consumed or to have in their possession any drugs, illegal substances, performance enhancing substances or intoxicants of any kind.
4.7 In the event of a Participant having to leave the Event because of injury, illness, voluntary withdrawal or Disqualification, the Participant will be responsible for all repatriation travel costs and related incurred travel arrangements. The Organisers will not be responsible for transporting the Participant or any belongings of the Participants, including, but not limited to, their bags.
4.8 The Participant’s journeys and transporting of belongings to and from the Event shall be entirely at the Participant ‘s own risk and cost.
4.9 The Participant acknowledges that they are personally responsible for their own belongings during the Event, and that they must collect any personal lost items from lost property before leaving the Event.
4.10 The Participant agrees at all times during the Event to abide by the reasonable instructions and guidelines of the Organisers’ staff, nominated representatives, and contractors and to behave appropriately at all times on the routes and in the overnight venues.
4.11 Participants acknowledge and agree that the Organiser will organise and run the Event and will have sole authority and be the final arbiter on all decisions relating to the following aspects of the Event: health and safety, logistical operations, participation, organisation and Rules and Regulations.
4.12 The Organiser reserve the right to reject (in their sole discretion) applications from persons who may reasonably be considered as a risk to the safety or welfare of any other attendee or participant at the Event, or may affect the enjoyment of other patrons and/or the running of the Event, or, in the Organiser’s opinion, may cause damage, nuisance or injury. Such persons may also be removed from the Event after it has commenced if the Organisers believe any of the above circumstances arise or are likely to arise.
4.13 The Organiser reserve the right to remove any Participant from the Event, either during or before it, due to ill health, or any other reason (at the Organisers’ discretion) that may render the Participant unfit to safely complete or remain at the Event, may impact the safety or others at the Event, or render them unable to participate in a manner which fully complies with any applicable government medical or safety instructions, protocols or guidelines. The Participant confirms that they will not take part in the Event if suffering from any contagious illness or infection and diarrhoea or vomiting symptoms, and confirms that they will report any illness during the Event, to the Event medical team immediately.
4.14 The Organiser shall arrange for the availability of an appropriate number of first aid and medical personnel according to the nature of the Event. The Participant hereby authorizes such medical personnel (both on-site or on-call) to administer first aid treatment or any medical treatment or to transport you in the event of any illness, accident or injury suffered by you in connection with your participation in the Event. The Organiser or Charity shall not be liable for such treatment or transportation by such third party. You shall be responsible for any medical or transport expenses specifically incurred in connection with any illness, accident or injury sustained or occurring in connection with participation in and/or attendance at the Event
4.15 The Participant agrees to follow all instructions and guidelines issued by the Organisers, observe all protocols and adhere to any measures that may be in place at the Event in order to address and help mitigate the risk presented by infectious diseases.
4.16 The Participant acknowledges that any medical information that has been shared on the registration platform will be used to treat them should medical attention be required on the Event administered by the Event’s medical personnel. The Organisers access to this information in no way implies the Organiser’s approval that you are fit, healthy and safe to participant in the Event. The Charity does not assess or approve participants medical fitness
4.17 The Participant confirms that they will not publish or post on any website or other media operated by the Organisers or related to the Event any text, statement, photograph, image or other material which is obscene, blasphemous, defamatory, infringes the intellectual property or other legal rights of any third party or is otherwise unlawful, offensive or inappropriate. The Organisers will have the right to remove any material at its discretion and take appropriate legal action against any person found to be or alleged to be in breach of this Clause 4.16.
4.18 The Participant acknowledges that photos and video content may be taken by the Charity and their representatives at the Event. Participants who want to opt out of any content (photography/video) featuring them for internal and/or external marketing purposes relating to the event should inform the Charity by contacting ceo.challenge@kingstrust.org.uk. If professional photographs are taken, a link will be available to the images for participants to download/share.
4.19 The Participant must at all times adhere to the directions and instructions of the instructors, the safety rules identified in the safety briefing, the safety rules and policies and to any other health and safety procedures and guidelines issued to you on the day of your visit. In addition, normal statutory rules and regulations apply and should be observed during the Events. Failure to adhere to any such guidance, instructions or rules is likely to put the health and safety of the Participant at risk, endanger the wellbeing of third parties and increase the chances of damage being caused to third party property. The Organiser reserve the right to remove the Participant from the Event in such circumstances.
5 INSURANCE
5.1 The Participant acknowledges that the Organisers are not responsible and any liability for personal and equipment is their own responsibility. It is recommended (but not mandatory) by the Organisers that each participant consider taking out personal liability insurance for the event;
5.2 We shall procure and maintain appropriate third-party liability insurance for the Event for our own benefit.
The Participant:
5.2.1 acknowledge that you are not entitled to benefit under such insurance where any claim is made against you by a third party for death, personal injury or damage to property arising out of or in connection with your negligent actions or omissions whilst participating in the Event; and
5.2.2 will provide the Charity with reports regarding all accidents, incidents, safeguarding issues and first aid in which you are involved.
6 PRIVACY STATEMENT
6.1 By registering for the Event, the Participant agrees and acknowledges that their personal details provided in their Participant Online Registration Form and Online Confirmation will be processed by the Organiser in accordance with this section solely for the purpose of administering and safely delivering the Event. The lawful bases relied upon under UK GDPR for the processing of Participant data are:
- Article 6(1)(f) – Legitimate interest for event administration and safety
- Article 6(1)(c) – Compliance with legal obligations
- Article 9(2)(c) & (h) – to ensure Participant safety and provide medical support, including first aid, and in emergencies where you cannot give consent or reasonably give your consent, to protect your vital interests.
6.2 Event Administration
- The Organiser requires a record of your registration details including third party emergency contact details for internal administration, safety and operational purposes in order to properly organise, administer and deliver the Event. Such personal data will be stored securely and processed in full compliance with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.

Digital communications
- The Charity will use the Participant’s contact data submitted on the Online Registration Form to send the Participant information via e-mail relating to the Event.
7 REGISTRATION AND DATA
7.1 Your personal data will be collected at registration by the Charity and processed by the Organiser on behalf of the Charity in accordance with the UK General Data Protection Regulation and Data Protection Act 2018.
7.2 For the purposes of Clause 7.1 above, the Participant hereby acknowledges that it is a strict condition of participation in the Event that all mandatory fields within a Participant’s profile are complete and always kept up to date. These fields include, without limitation, gender, first name, surname, date of birth, email address, SMS contact number, medical condition information and emergency contact details. The Participant hereby acknowledges and agrees that this information is required by the Organiser in order to properly and safely administer and conduct the Event and for public health purposes in the public interest. Data concerning fit and medical status shall be treated in the strictest confidence and shall be handled appropriately and responsibly. The Organiser reserves the right to refuse an applicant or a Participant entry to the Event in circumstances where that person either requests the deletion of such mandatory information from their Participant’s profile or provides false or incomplete information. Nothing in this clause affects your statutory data rights, though some rights may be restricted where processing is strictly necessary for legal or safety reasons.
7.3 The Participant agrees to inform the Charity of any changes to the information supplied in their original Online Registration Form, and particularly any changes to the Participant’s medical condition and contact details. The Participant should contact ceo.challenge@kingstrust.org.uk as soon as is reasonably practicable.
7.4 All information relating to Participants collected by or on behalf of the Organisers from which each Participant can be identified will be recorded electronically and will be used at all times in accordance with the Data Protection Act 2018 and all applicable laws and regulations relating to the processing of personal data and privacy. The Organiser will disclose such information to a third party as necessary in connection with the safe organisation, staging and administration of the Event. Save as expressly stated herein and under these Rules and Regulations, the Organiser will not disclose information to any third parties.

7.6 Each Participant is entitled to withdraw his/her consent to receive non-essential categories of e-mail and/or SMS communications from the Charity and can do so at any time by either: i) following the unsubscribe or opt-out instructions provided in the relevant e-mail or SMS, or ii) by emailing us at ceo.challenge@kingstrust.org.uk. Please note that due to email production schedules you may still receive any mailings that are already in production.
8 GENERAL
8.1 If any provision of the agreement constituted by these T&Cs is invalid or unenforceable, in whole or in part, the validity of the remainder shall not be affected.
8.2 The agreement does not create, confer or purport to confer any benefit or right enforceable by any person not party to it.
8.3 The Charity reserves the right to amend, remove or add any terms and conditions at any time.
8.4 This agreement shall be governed by English law, and the parties submit to the exclusive jurisdiction of the English courts.
PARTICIPANT DECLARATION
By submitting this registration form, I confirm that:
I have read, understood and agree to these Terms and Conditions, including the Charity’s Privacy Policy, and acknowledge how my personal, medical and emergency contact information will be processed.
I confirm that I am physically fit and capable of safely completing the Event
I understand and accept the risks involved; and
Agree to raise funds solely for the Kings Trust in accordance with these terms and conditions.
